Privacy Policies

The purpose of this page is to describe the data that ARARA collects, how we use it, and your rights with regards to this data.

Data That We Collect

ARARA collects data about people who use our website. We have three categories of people for whom we retain data:

  • Members: Generally, these are people or organizations that have paid to become members of ARARA. We have a couple of member categories which we primarily use to maintain contact information and/or to share publications and are not considered voting members and have much limited data collection than voting members. As part of the membership intake and renewal processes members provide ARARA the following information:  Name, email, phone numbers, address, an agreement to abide by the ARARA Code of Ethics, interests that members have about issues in which ARARA is engaged, an indication of why you joined ARARA, the membership level that you have paid for, and the date you joined. Student members also provide us with a scan of the school ID.
  • Contacts: Contacts are people who have expressed an interest in ARARA events (things like our conference and monthly zoom presentations) but are not members of ARARA. The bulk of our contacts come from the monthly zoom lectures. For these contacts we collect their name and email address.
  • Archived: Archived people are contacts or members who we consider no longer active and are moved to this category where we cannot communicate with them through our regular channels. We maintain all of their data associated with either their member or contact status in case they would like to renew their affiliation with ARARA.

For members and contacts, in addition to the data noted above which is provided up on intake, we also collect information about which events they have registered for; communications we have sent to them and whether they were received, opened, and whether links within those communications were clicked; financial transactions and how they were made (check or credit card); donations made through the website and how they were made (check or credit card); and the last time you logged into the website. For credit card transactions we do not have access to your credit card information used to pay for transactions within our membership database.

We occasionally use surveys or forms to gather additional data that is helpful for ARARA operations. For example, we collect information from potential speakers at our conference, votes regarding new Board members, and surveys on various topics.

ARARA requests field trip attendees to fill out a medical information form to be carried on their person. This information is only used in the case of a medical emergency to assist first responders. The ARARA website has no access to this information and it is not retained in any way by ARARA.

Cookies
Our website uses cookies. However, they are limited to facilitate movement within the website. These “session” cookies enable things like the “back” button to return to a previous location. We do not use “persistent” cookies that track information about you and your website usage over time.

We do not use add-on services such as Google Analytics which track site usage.

We Do Not Knowingly Collect Information from Children
Our website is intended for a general audience of professionals and adults with interests related to rock art. We do not knowingly collect or solicit personal information from anyone under the age of 13. If you are under 13, you are prohibited from providing information to ARARA through this website without verifiable parental consent. In the event we learn that we collected personal information from anyone under the age of 13, we will delete that information and only recollect the information after receiving parental consent. If you believe that we might have collected personal information from anyone under the age of 13, please contact us.

How We Use Data That We Collect
We use the data that we collect solely for the operation of ARARA. We do not sell any of our data to third parties. Primarily this data is used within ARARA. For example:

  • Members of the Board of Directors have access to a membership contact lookup so they can get contact information.
  • Committees can request member contact information. For example, the Archive Committee might request a contact list for people who have indicated an interest in archives. Or the Awards Committee might request information to assist a nomination get the requisite number of approval letters by asking for a list of members who might know the potential awardee.
  • We use contact information to communicate about upcoming activities such as zoom lectures and the conference.
  • We use contact information to communicate with registrants to events about necessary information they need to participate in the event.
  • We use contact information to notify members of expiration of their membership and how to renew that membership.
  • We use contact information to distribute information such as the La Pintura newsletter.
  • We use contact information to inform members and/or contacts about unusual events. Examples might include the annual election of members to the Board of Directors, a survey of opinions on various topics, or updates on things happening within ARARA.
  • We share personal and credit card information to our credit card processor that users have entered when paying for membership or an event. However, we do not save your credit card information within our website.
  • We have a limited number account administrators who have full access to our database of information. In addition, we may add administrators with limited access to areas such as membership and events in order to facilitate events such as our conference.
  • In a few instances, membership contact information may be given to external entities. This is only to facilitate ARARA operations. For example, when our AIRA publication is mailed to members by a contractor we need to provide mailing information to facilitate that activity. Likewise, we may want a tourism entity to distribute tourism information about the location of an upcoming conference. When we distribute information to external entities we only do so when we are assured that the membership data will not be retained or sold by the third-party entity.

International Data Transfers
ARARA is a U.S. based organization but we do now and may in the future have members and contacts in other countries, including Canada. We may transfer your personal information to recipients in countries other than the country in which the information was originally collected, in particular to the United States of America. Those countries may not have the same data protection laws as the country in which you initially provided the information. When we transfer your information to other countries, we will protect that information as described in this Privacy Policy or as otherwise disclosed to you at the time the data is collected.

Information Security
We are committed to ensuring the privacy of your personal information and have established safeguards to help protect such information. For example, to protect your privacy, ARARA uses passwords and dual factor authentication to verify Administrator identity within the website. All online monetary transactions are done on a secure server. This means that information entered on the transaction page is encrypted before transmission. Though we strive to ensure the security of your information on our systems, no security measures are perfect or impenetrable and data transmission over the internet cannot be guaranteed to be 100% secure.

Website Links
In order to provide certain information, we provide links to other websites that are involved in rock art. ARARA’s privacy practices may not be applicable at any third-party sites. When you leave the ARARA website, we have no control regarding what information may be collected about you, nor do we control what third parties might do with the information. It is important that you review any privacy policies on third-party sites carefully before you use any services or programs offered.

Your Rights
You can choose what membership information you are willing to share. You can choose to edit and/or share this information with the following website categories: Anybody, Members, or No Access. This is setup during your membership intake. Please recognize that things like addresses are occasionally important for us to share with outside entities (Anybody option) in order to facilitate our operations. ARARA members can check their Privacy Profile by logging into the ARARA website, clicking on their name on the top right part of the page, choosing the Edit Profile option, and Clicking on the Privacy link.

California residents are entitled once a year to request and obtain certain information regarding our disclosure, if any, of personal information to third parties for their direct marketing purposes during the immediately prior calendar year.

You may request a copy of information that ARARA has recorded within our website.

Anyone can request that all information associated with you be removed from our database. To do so, simply use our contact link and let us know. We will send you an email confirmation when that has been done. Some information is built into our website provider functionality and to remove that information may only be accomplished by removing your membership.
